JOB DESCRIPTION
Position Overview
The Assistant Director is responsible for supporting the leadership team with the daily administrative requirements of the day camp site. They are responsible for all on site administrative duties, such as report printing, attendance, camper phone calls, etc. They focus on providing excellent customer service and are committed to the goals and philosophies of the YMCA.
Core Responsibilities
Describe the mandatory core functions of this position.
Coordinate day camp site administrative requirements
• Implement daily administrative requirements
• Assist Site Director with day to day operations
• Assist with the preparation, delivery and evaluation of staff trainings
• Overall coordination of daily administration of day camp program
• Coordinate the logistics of the bus transportation system
• Assist with extended care
• Monitoring and reporting camper attendance and absences
• Writing and distributing notices and memos
• Ordering and distributing camper merchandize
• Full participation in staff meetings
• Managing and monitoring weekly staffing needs in partnership with the Leadership team
• Provide ongoing support, supervision, coaching, performance management for Day Camp relief staff
Supervise day camp relief staff
• Direct Supervisor of Day Camp relief staff
• Conduct regular performance review including formal written appraisal of all direct reports prior to completion of their term
• Provide ongoing coaching, guidance, feedback, and discipline to Day Camp Relief Counsellors
• Coordinate relief requirements for London day camp sites
Social Media
• Maintains the camp social media pages
• Writes in a clean and professional manner that represents the values of the YMCA
• Shares photos, videos, links, and stories from Day Camp with our online community
Contribute to the success of the YMCA day camp
• Oversee coordination of camp logistics
• Maintain healthy working relationship with partners and 3rd party providers
• Act as positive role model in attitude, health and wellness for campers, volunteers and staff
• Active risk management practices as per current policies
• Positive communication, problem solving, and addressing concerns in a timely manner with camper families
• Incorporate the principals of YMCA Healthy Child Development into all programming
• Ensure programming is developmentally appropriate and strength based
• Provide leadership to all staff trainings and meetings
• Report equipment malfunction or loss to supervisor
• Administering first aid, writing accident/incident reports as required
• Fill in for other staff roles when necessary (i.e. staff illness)
• Provide end of camping season report to supervisor
• Supporting and promoting the YMCA core values
• Uphold the YMCA code of conduct and camper behaviour policy
• Assist with Camping Branch programs and activities
• Support philanthropic initiatives and goals of the YMCA
Education / Experience
Describe required academic, technical, and business education required and how it will be used. In addition to education, describe required work experience and how it will be used.
• Experience in day or residential camp in positions with progressive leadership and responsibility
• Minimum of 18 years old
• Current Standard First Aid and CPR
• Clear Criminal Record Check with Vulnerable Sector Screening as per current YMCA HR policy
• Participation in YMCA Healthy Child Development (training provided)
Supervisory / Managerial / Coordination
Describe to what extent policies and/or guidelines will be developed, or interpreted, and number and skills of people supervised. Describe the type of training and/or direction to be given to other employees, and/or the extent of scheduling work for others.
• Responsible for assisting Site Director in scheduling staff and volunteers
• Help to co-ordinate relief staff with the assistance of the Director
• Responsible for operations of Day Camp when Director is away
Financial / Budgeting
Describe the extent of budget development, responsibility for expense, capital and cost control. Also describe the extent of responsibility for selection of assets and effect on product pricing.

Working Conditions
Describe the work environment required, including mental, emotional and physical characteristics of the environment such as heat, cold, dust, use of chemicals, hazards, travel, stress, mental attention, judgement needed and if 24 hour on call duty is involved.
• Staff work onsite at designated Camp area.
• The Assistant Director will spend time mainly indoors completing office work on computers but will be outdoors working with staff and campers in all weather conditions. Staff will be active throughout each day and required to participate in activities and ensure campers are kept safe at all times.
• Staff are expected to respond when necessary to camper and parent needs any time of day.
• Minimal exposure to chemical hazards, however all staff are expected to assist in keeping the site clean and for cleaning the camp site before and after each session.

Describe the difficulty of problems requiring solution. Are issues routine in nature or more complex with little or no assistance available in reaching decisions. Describe the impact of decisions on the organization in terms of financial, organization guidelines, organization effectiveness, precedent decisions, and/or customer relations.

• Responsible for implementing organization changes in regards to camper information and office procedures with the guidance of Director
